Finance and Administration Manager
Job summary
Coordinate office activities and operations to ensure efficiency and compliance to company policies and procedures.
Detailed tasks
- Undertake administrative tasks to ensure that the rest of the staff have adequate support to work efficiently.
- Ensuring that the Company office premises are opened in time in the morning and properly locked in the evening.
- Work hand in hand with security personnel to prevent intruders from accessing office premises.
- Receive and attend to all company visitors.
- Supervise lower level administrative staff, cleaners and security guards.
- Prepare for all company meetings and ensure that the required logistics are in place.
- Monitor the Company’s Alarm system and notify the security company in case of any suspected intruders.
- Keep stock of office supplies and place orders with the procurement team in time.
- Answer official Company calls and direct calls to relevant staff if need be.
- Dispatch and receive office items to the branch offices.
- Receive all incoming letters and other packages and deliver them to the addressed.
- Monitor company generator and electricity and ensure their timely service and repairs.
- Participate in preparation of all office events.
- Manage the Company stores and archive rooms.
- Manage the Companies post office box.
IT ROLES
- Assisting with hardware and software installation
- Troubleshooting and resolving IT issues
- Performing regular updates and maintenance tasks on company systems
- Providing technical support to employees
- Documenting processes, including troubleshooting steps taken
- Setting up and configuring new systems and applications
- Resolving all issues staff have with their IT systems and software
- Any other duties that may be assigned by supervisor from time to time.
