Reports to:
Finance and Administration Manager

Job summary
Coordinate office activities and operations to ensure efficiency and compliance to company policies and procedures.

Detailed tasks

  • Undertake administrative tasks to ensure that the rest of the staff have adequate support to work efficiently.
  • Ensuring that the Company office premises are opened in time in the morning and properly locked in the evening.
  • Work hand in hand with security personnel to prevent intruders from accessing office premises.
  • Receive and attend to all company visitors.
  • Supervise lower level administrative staff, cleaners and security guards.
  • Prepare for all company meetings and ensure that the required logistics are in place.
  • Monitor the Company’s Alarm system and notify the security company in case of any suspected intruders.
  • Keep stock of office supplies and place orders with the procurement team in time.
  • Answer official Company calls and direct calls to relevant staff if need be.
  • Dispatch and receive office items to the branch offices.
  • Receive all incoming letters and other packages and deliver them to the addressed.
  • Monitor company generator and electricity and ensure their timely service and repairs.
  • Participate in preparation of all office events.
  • Manage the Company stores and archive rooms.
  • Manage the Companies post office box.

IT ROLES

  • Assisting with hardware and software installation
  • Troubleshooting and resolving IT issues
  • Performing regular updates and maintenance tasks on company systems
  • Providing technical support to employees
  • Documenting processes, including troubleshooting steps taken
  • Setting up and configuring new systems and applications
  • Resolving all issues staff have with their IT systems and software
  • Any other duties that may be assigned by supervisor from time to time.
