Jobspace Uganda Vacancy Summary

The Receptionist will provide the first point of contact for patients, attendants, visitors and callers. The position combines customer care, accurate direction, telephone handling and basic administrative coordination. In a specialist hospital, the receptionist must remain courteous while protecting confidentiality and escalating clinical questions to authorised staff.

Why This Role Matters

A receptionist can shape a patient’s first impression of the Institute. The application should show evidence of clear communication, accurate records and calm handling of several requests at once. Experience from hospitals is useful, but front-desk, customer-service or public-facing work from another reputable institution can also demonstrate the required behaviour.

Who Should Consider Applying?

  • Front-desk and customer-care staff with strong spoken English.
  • Applicants holding the required UCE English result and relevant certificate.
  • Candidates experienced in telephone handling and visitor direction.
  • People able to remain composed with worried or frustrated visitors.

Key Duties and Responsibilities

  • Welcome and register visitors according to institutional procedures.
  • Receive calls and direct them to the appropriate office or service point.
  • Respond to routine enquiries using accurate, approved information.
  • Coordinate information between departments without disclosing confidential details.
  • Maintain an orderly reception area and basic front-desk records.

Qualifications, Skills and Experience

  • UCE with at least a credit in English.
  • Certificate in Customer Care, Public Relations or related training.
  • Clear verbal communication, listening and basic administrative skills.
  • Professional appearance, patience and respect for confidentiality.

How to Make Your Application Competitive

  • Make the English result and customer-care certificate easy to verify.
  • Describe the volume and types of visitors or calls previously handled.
  • Show one example of resolving or escalating a difficult enquiry.
  • Avoid including unnecessary private customer information in examples.

Questions to Prepare for Before an Interview

  • How would you manage a queue while the telephone is ringing?
  • What would you do if a visitor asks for confidential patient information?
  • Describe a difficult customer interaction you handled professionally.

Application Procedure

Prepare a cover letter, an updated CV, academic and professional certificates and transcripts, an O-level certificate, an A-level certificate where applicable, a copy of the National ID and evidence of experience where required. Applicants whose professions require registration should also include the applicable registration certificate and valid practising licence. Address the application to The Executive Director, Uganda Heart Institute, P.O. Box 37392, Kampala. Submit it by email to erecruitment@uhi.go.ug or hand-deliver it to UHI Headquarters, Mulago, Kampala. Incomplete applications and applications sent to another email address are not accepted.
